Notttingham Evening Post Group expand Neptune Ad-Tracking with Internet
Ad-Approval
The Nottingham Evening Post
Group, part of Northcliffe Newspapers has expanded their Neptune Ad
Tracking system, by purchasing Internet Ad-Approval.
Ad Approval allows customers to access the Internet and view their ads
that are awaiting customer approval. After viewing the PDF of the ad
the customer can issue instructions to approve it unchanged, or request
that the production department carry out changes to the ad. If the customer
has installed the full version of Acrobat notes can be attached to the
ad defining the required changes. The modified PDF is then sent back
to Neptune, so that the production department can carry out the customer's
instructions. Customers who have the free Reader version of Acrobat
have to enter instructions in a note field when approving the ad. These
instructions are saved in the database. As well as viewing ads Ad Approval
also allows the customers to view thumbnails of completed ads and associated
artwork.
Careful thought has been given to security of the system. Each user
is allocated a login and password to access their ads only; the customer
is not allowed to view any tracking information, or access to any other
files. Any changes made by the customer are recorded in the database
with the time the changes are made. All PDF modifications are saved
and any messages saved on the system are secured from modification by
either the customer or the production department. If an ad is approved
past deadline a customisable message is displayed outlining what the
customer should do if he needs to make a change past deadline.
The Nottingham system is used primarily within the Advertisement Services
department, this contains ad production as well as artists. Neptune
is used by both editorial and advertising to track and approve the visuals
set for the advertisement representatives.
Since the system is very flexible, it is also being used by Nottingham's
remote offices. The system has been set-up to give access to all the
ads of a particular Salesman or territory. The turnaround from proof
to approval has been speeded up, and has reduced the number of hard
copy proofs that are sent to customers. Ad Approval is simple to use
and requires very little instruction on how to login and use the system.
Nottingham has also purchased the automatic emailing facility. This
allows PDF proofs to be automatically emailed to customers or salesmen
when the ad has reached the proof stage of production.
Neptune is used extensively at Nottingham for tracking the production
of display advertising, and is interfaced to the Sentinel ad-booking
system. Sentinel is able to issue instructions to Neptune to automatically
do straight lifts or lifts with amendments, thus ensuring the correct
ad appears in the publication. Customer credits caused by an incorrect
ad appearing in a publication have been reduced to very low numbers.
